Transforming Key Management – How Nyköpingshem is Embracing Digital Solutions

To simplify administration and increase security, Nyköpingshem has begun digitizing its key management through a pilot project. The new solution provides both tenants and staff with smoother access to properties while making management more efficient.

The Challenge: Modernizing Key Management 

For property companies with large portfolios, managing keys and access is an ongoing challenge. Traditional key systems require extensive administration, pose security risks, and can lead to unnecessary costs, for example when tenants move.

Nyköpingshem wanted a solution that would:

  • Increase security by reducing the number of physical keys and ensuring only authorized personnel have access
  • Streamline administration by automating and digitizing key management
  • Improve the tenant experience with easier and smoother access to properties

But which technological solution was the right path forward? To ensure a long-term and sustainable digitalization strategy, Nyköpingshem chose to start with a pilot project.

 

The Solution: Digital Keys and a Smart Platform 

To create modern, reliable, and future-proof access, Nyköpingshem opted for a combined solution where access systems, digital locks, and digital cylinders work together. The result is a safer everyday experience for both tenants and property staff, and a solution that is easy to administer even at scale.

Entrances and perimeter security are protected by the RCO M5 access system, which manages the daily flow of tenants and staff. This is complemented by ASSA ABLOY’s eCLIQ digital cylinders, replacing traditional mechanical locks and ensuring doors remain operable even during system or electronic lock outages. The result is a robust perimeter security that never fully fails—a crucial safety factor in any property portfolio.

Technical rooms such as electrical and HVAC areas also use eCLIQ. The digital cylinder is ideal for these spaces because installation requires minimal disruption and no cabling. Risks associated with lost keys are minimized, as digital keys can be blocked and access rights adjusted in seconds. Property managers and contractors only gain access to the areas they need, when they need it. 

  Technical staff and property managers receive digital access rights, reducing the need to pick up or hand over physical keys. 

In apartments and storage units, Nyköpingshem has chosen RCO’s LockR digital lock. For tenants, this means one tag works throughout their home: entrance, apartment, storage, and common areas. Simple, secure, and no multiple keys to manage.

   Tenants can access the appropriate areas with a single tag—no more lost keys requiring lock cylinder replacements. 

 

Platform for Smooth Administration and Gradual Digitalization 

To make administration as smooth as possible, Nyköpingshem uses Serix IAM from Seriline. The system is connected to the property management database and ensures only tenants with current contracts can access the properties. 

All tags, digital keys, and access rights are managed in a single system regardless of manufacturer. Even mechanical keys can be documented in the platform, enabling a smooth transition from mechanical to digital locks. 

 The platform allows starting on a smaller scale and gradually scaling the solution as the pilot project is evaluated and developed. 

Combined administration also makes move-ins and move-outs at the start and end of the month much more efficient. Tenants verify their identity with BankID, sign digitally, and the system provides a complete overview of who has access to which areas. 

 Only current tenants have access—expired tags and access rights are automatically revoked when contracts end.
